Administrative Assistant – Operations & Finance

About the Role

As our Administrative Assistant, you’ll be the linchpin between operations, finance, and client experience. From managing accounts receivable/payable and cash flow to supporting Intrepid Glass with quotes, invoicing, and glass-commission calculations, you’ll help ensure our projects and client relationships run seamlessly.

Key Responsibilities

  • Manage Accounts Receivable & Accounts Payable
  • Generate invoices, change orders, and job costing reports
  • Track cash flow and support financial planning
  • Assist with lead intake, project setup, and maintenance of client files
  • Liaise between subtrades and project managers to ensure accurate billing
  • Produce Intrepid Glass quotes & invoices
  • Calculate glass installer commissions weekly
  • Conduct client progress check-ins; curate Project Completion Binders
  • Support SOP development and compliance
  • Handle internal documentation and organization of files

Ideal Candidate

  • 2+ years in bookkeeping/office admin (preferably within design, construction, or trades)
  • Proficiency in QuickBooks and CRM/project software (e.g. Buildertrend, JobTread)
  • Strong attention to detail and organization
  • Excellent written and verbal communication
  • Client-forward mindset and collaborative spirit

Hours and Compensation

Hours: 20–30 per week
This role can be effectively managed within 20 hours/week for a streamlined version, or expanded to up to 30 hours/week if supporting projects is heavier or client volume increases.

Pay Rate: $23–$28/hour
Starting at $23/hour, with opportunities for performance-based bonuses and raises as the role evolves.
